Project Management Presentation and Class Information

This page is for presentations.  All PowerPoint presentations will be available here for you to review.

Workshop 1 Presentation, the FORGOTTEN PM PHASE, before the project is conceived.

ASSIGNMENT FOR WORKSHOP 1:  Start by collecting all the material you can related to your own company’s Project Management Systems. Your goal is to bring this information to the first class.  If you cannot find this information from your own company, try to find examples from the internet.  Those who bring good examples get 10 points.

Workshop 3 Presentation. The Planning Phase

Below is a list of possible sections (an outline) for your project notebooks.  Remember I've worked with over 100 hundred different companies and I may have used 25 different versions of this outline.  So...you do what is best for your company and your situation.  The key is for you to take ownership of your notebooks.  My goal is to help you develop a template that you like and can use for your future projects.  I want you to use your brain, experience, and imagination.  Base your notebooks on the material we talk about in class.  My philosophy is, "You have to be able to master change, PM is all about mastering change, and you as a project manager have to be the leader of your project."  

Both the team project and your individual project "could" use the same outline as written below or you may change your individual notebook to better fit your personal needs.

1. Team Project...Your mission is to create a sample project notebook to collect and document all of the team's project information.

2. Individual Project...Your mission is to :

  • Find the best project management examples based on the material we cover in class and research using any method you can (internet, company, books, friends, etc.) .  Then to compare this material with your company's polices and procedures and then make suggestions for improvement.

Or

  • Create suggestions and samples for your company to use.  Customize the material you find to fit your company.

Or

  • Use the material you find and your team project to give an example of your own personal project.  You decide what the project is and apply the material you find to that project.  As an example you could build a garage on to your house or you may want a family website for your extended family to use to keep track of family needs and news.  Assume you have a team of people helping you.

Possible Outline Sections and Tabs

Section 1: Concept Phase

  • Project Charter - you may develop a policy about when to use the charter and the type of information that goes into a charter.
  • History or Business Plans - you may want to explain the history behind your project.  This could include audit findings that drove your company to commission your project or news clipping related to your project, etc.
  • Communication Policies - Could include the authority of you and others to communicate to others (chain of command).  You could create a communication memo to explain how your team is to communicate to customers.
  • Communication Records - Every memo, letter, phone log, or meeting minutes/notes could go into this section.
  • Contracts/RFP/Scopes/SOW - Any agreements you have with internal or external customers.
  • Budget Information

Section 2: Planning Phase

  • Requirements Documentation - (Could also be started in the Concept Phase) Any needs analysis, interviews, surveys or requirements documentation systems you have used to understand the requirements of the project.  We gave an example of the Functions, Attributes, and Constraints documentation, you may use that type of systems.  Check off the Requirements Documentation Check List as you go - Used to track all of your planning is including or incorporating the functional requirements required by your clients.
  • Resource (people) Matrix - Tell who is on your team, what roles and responsibilities they may have and the required skills mix.
  • Task List
  • WBS for Each Task
  • Definition of Each Task
  • MS PROJECT does this.
    • Task Information Table - Table showing Task, WBS, Predecessors, Who's working on the task, Duration of Task, (could use optimistic, pessimistic, most likely), cost, and other related information.
    • Gantt Chart
    • Network Diagram (Make sure you force MS Project to put in false start and end tasks.)
  • Flow Charts (Good for showing the customer details about your project)
  • Keep updating the communications in reverse chronological order but keep it in the concept phase section.

Section 3: Implementation Phase

  • Project Change Forms - Use a policy and procedures to document, plan, and implement project changes to cost/budget, schedule , resources, and functionality agreements.
  • Budget and Earned Value Charts - Used to show progress in schedule and cost based on budgeted dollars and schedule.
  • Progress Reports
  • Update 
  • Keep checking off the requirements documentation but keep it in the planning section.  Use it to track and show that you are implementing all of the functional requirements.
  • Keep updating your plan as you go but keep it in the planning phase section.
  • Keep updating the communications in reverse chronological order but keep it in the concept phase section.

Section 4: Closure Phase

Example: In class Closed Book Final Test Example (30 minute time limit) 

  • Do the work individually but assume you have a team of 6 people to do one of the following projects.  (1) Move your office complex to another building, or (2) Remodel a room in your house, or (3) develop a new business internet site.
  • Show me a sample SOW / Scope 
  • Show me a resource matrix
  • Show me a task list with WBS.  Keep the number of tasks down to 10 to 15 items.
  • Show me a network diagram with forward and backward pass information.

 

Makeup for Final Test and Last Day Participation

  • Do the work individually but assume you have a team of 6 people to do one of the following projects.  (1) Remodel a room in your house to prepare of a new baby, or (2) Redesign this website.
  • Show me a sample SOW / Scope 
  • Show me a resource matrix that includes the types of people you will need on your team.
  • Show me a task list with WBS.  Keep the number of tasks between 20 and 40 tasks.
  • Calculate time estimates
  • Show me a network diagram with forward and backward pass information.
  • Calculate cost estimates for each task and calculate the total cost of the project.
  • Show a figure that explains the cost by month.
  • Explain the close down phase related to this project.  
  • Place all the information in a report and email it to craigastevens@westbrookstevens.com by Friday (5/27/05)
